Prerequisites

  • A HubSpot account (Free, Starter, Professional, or Enterprise)
  • Admin or Super Admin permissions in HubSpot to authorize the integration
  • Sellinger account with active leads to sync

Connecting HubSpot

Connect your HubSpot account to Sellinger using OAuth 2.0. This secure method never exposes your HubSpot password and can be revoked at any time.

Navigate to Integrations

From your Sellinger dashboard, click on Integrations in the sidebar, then find the HubSpot card.

Click Configure

Click the Configure button on the HubSpot card. This will open the HubSpot integration panel.

Connect to HubSpot

Click Connect HubSpot to begin the OAuth flow. You'll be redirected to HubSpot to authorize Sellinger.

Authorize the Connection

Review the permissions Sellinger is requesting and click Connect app. You'll be redirected back to Sellinger.

Verify Connection

Once connected, you'll see a green checkmark and your HubSpot portal name. You're now ready to sync!

Required Permissions

Sellinger requests access to: Contacts, Deals, Notes, and Engagements. These are needed to create and update records in your HubSpot CRM.

Syncing Leads to HubSpot

Export your Sellinger leads to HubSpot as contacts, with associated deals, meetings, and notes. Choose which leads to sync based on their status.

Sync Types

Full SyncFirst Time

Syncs all leads matching your selected filters. Use this when connecting HubSpot for the first time or to ensure complete data parity.

Incremental SyncRecommended

Only syncs leads that have changed since your last sync. Faster and more efficient for regular syncing.

How to Sync

Open the Sync Tab

In the HubSpot integration panel, click on the Sync tab.

Select Lead Statuses

Choose which lead statuses to sync. By default, Responded and Converted leads are recommended for syncing.

Start the Sync

Click Start Sync. You'll see a progress bar showing how many leads have been processed.

Review Results

Once complete, you'll see a summary of synced contacts, deals, meetings, and notes. Any errors will be highlighted for review.

Large Syncs

For syncs with more than 50 leads, the process runs in the background. You can close the page and check back later - the sync will continue.

Importing from HubSpot

Import existing HubSpot contacts as new leads in Sellinger. Perfect for re-engaging dormant contacts through LinkedIn outreach.

Open the Import Tab

In the HubSpot integration panel, click on the Import tab.

Browse Contacts

You'll see a list of your HubSpot contacts. Contacts already in Sellingerare marked and won't be imported again.

Select Contacts

Check the contacts you want to import. You can use the search and filter options to find specific contacts.

Assign to LinkedIn Account

Select which LinkedIn account should handle these leads. This determines which account will send connection requests and messages.

Start Import

Click Import Selected to begin. Contacts will be created as new leads in Sellinger.

LinkedIn URL Required

Contacts must have a LinkedIn URL to be imported. Contacts without LinkedIn profiles will be skipped.

Contact Matching

Sellinger uses intelligent matching to find existing HubSpot contacts and prevent duplicates. Here's how the matching works:

Matching Strategies

Email MatchPrimary

Exact email address matching. This is the most reliable matching method and is tried first.

LinkedIn URL MatchSecondary

Matches based on the LinkedIn profile URL stored in HubSpot'shs_linkedinid field.

Name + Company MatchFallback

Fuzzy matching using full name and company name. Used when email and LinkedIn don't find a match.

Conflict Resolution

When syncing data between Sellinger and HubSpot, conflicts can occur when the same field has different values in each system.

The same field has different values (e.g., different email addresses).

Multiple Matches

A Sellinger lead matches multiple HubSpot contacts.

Stale Data

HubSpot data is newer than Sellinger data (or vice versa).

Auto-Resolution

You can set default resolution rules in the Settings tab to automatically resolve common conflicts without manual intervention.

Configure automatic syncing to keep HubSpot updated without manual intervention. Choose which leads to sync and how often.

Enable Auto-Sync

Toggle automatic syncing on or off. When enabled, Sellinger will periodically sync your selected leads to HubSpot based on your configured schedule.

Choose what happens when a Sellinger lead doesn't match any existing HubSpot contact:

Create a new HubSpot contact for leads that don't exist

Skip (update existing only)

Troubleshooting

Common issues and how to resolve them.

Sync is stuck or taking too long

Large syncs run in the background and may take several minutes. Check the sync status page for progress. If stuck for more than 30 minutes:

  • Check your HubSpot API rate limits
  • Try syncing smaller batches by filtering by status
  • Disconnect and reconnect HubSpot to refresh the token

LinkedIn URL not appearing in HubSpot

LinkedIn URLs are stored in the hs_linkedinid property. Make sure this property is visible in your HubSpot contact views.

Custom properties not created

Sellinger creates custom properties automatically, but this requires admin permissions in HubSpot. Ensure the authorizing user has Super Admin access.

Duplicate contacts created

This can happen if the lead doesn't have an email or LinkedIn URL. Ensure your leads have at least one of these fields populated for accurate matching.

Use the debug endpoint to test HubSpot API connectivity and inspect data mapping:
